Applications and Relevance of MIS in Corporate Sector

Today’s Manager is confronted with two main challenges as he/she has to take quick decisions and process large voluminous information.

MIS- An Acronym of –

It is the art of getting the work done through and with the help of people by performing basic functions of management as –

  • PLANNING
  • ORGANISING
  • STAFFING
  • DIRECTING
  • CONTROLLING

INFORMATION

For Decision Making INFORMATION is the necessary and vital input as people need it for-

  • Individuals – Entertainment and enlightenment, knowledge addition
  • Business Domain – for making decisions, executing control and solving problems

SYSTEM

system is made of subsystems that are linked together to achieve a specific objective. It may have single or multiple inputs and outputs.

MIS basically deals with human-made system involving input, process and output.

Management Information System is…

A type of information system which is a collection of interlinked subsystems which and provide data collection, information processing, reports retrieval, storage and distribution for knowledge management and better decision making of managers in an organization. MIS utilizes Computer H/w and S/w, Databases, Model bases, Operating procedures and People.

MIS is an information system that manages the entire data repository of an organization and acts as a reporting tool for middle level managers thus enabling them smooth planning, monitoring, and administration of the operations. It has the features of gathering and storing data at whole organizational level from different departments, generating quick and effective reports and presentations that can be used instantly for actions and re-planning. MIS goals towards improving the organizational performance and helping in smart and correct revenue based decision-making. It is an information system that collects organizational data from all internal and external sources, processes it and generates reports for the managers enabling effective operations, tactical management and decision-making.

Relevance and Need for MIS

Decision makers need a lot of information for effective decisions in which MIS plays a vital role as it enables easy sharing and communication to internal and external bodies of the organization. Thus, all employees are at same level and information base for day to day operations. Facilities such as Short Message Service (SMS) & Email make it possible to communicate with customers and suppliers from within the MIS system that an organization is using. MIS is an effective tool for record keeping of all business transactions and provides a reference point for the transactions.

Characteristics of MIS

  • Oriented as per managerial needs in top to down fashion which suggests that the system development starts from overall business objectives and the management needs.
  • The design and development of MIS should be as per the information needs of the managers at all three levels- strategic, tactical and operational.
  • It has facility of exception reporting which helps middle level management to take required action at correct time.
  • MIS provides both historical information and future projections based on which actions may be initiated.

Role of MIS in Business Organization

MIS is an important tool of an organization comparable to the role of heart in the body. It ensures appropriate data is collected from the various sources, process & sent to all the needy destinations.  It fulfills information needs of an employee, department and all management levels by providing relevant output to reports, variety of queries, analysis systems, data models and DSS.

MIS is much needed in any organization for:

  • Managing the organization as a system
  • Obtaining organization-wide efficiency
  • Role clarity of people
  • Automation of organizational processes
  • Cost minimization

MIS delivers relevant information, provides easy data sharing and communication, helps to identify problems & leads to correct and effective decisions. Thus MIS helps in managing, administering and operating the organization in a more effective manner.

Role of MIS

Impactful Decisions: MIS plays a vital role in strategic and tactical decision making process of any organization as it provides relevant information on time.

Intra and Inter functional departments: MIS caters to discrete needs of an organization across all functional departments.

Finding out Problems: MIS provides relevant information about every aspect of activities in an organization, so any mistakes made by the management are immediately notified and reported by MIS reports. These reports help in finding out the solution to the problems so that corrective action is taken there and then and losses and failures are prevented to occur.

Optimization of Business Performance: MIS provides a repository of all past and historic information in its database and hence is very useful in optimizing and comparing business performance.

Propose and implement strategies for an organization: To enable competitive intelligence , MIS supports in planning and revising appropriate strategies for enhanced business performance.

Modified Model of  Organization System

JIMS also maintains a good MIS at its end for generating day to day, weekly and monthly reports for effective decision making and taking corrective actions at the right time. This has led us for attaining better ranking and accreditations.
